The India Association of Minnesota (IAM) is committed to protecting the privacy of our visitors, members, and event participants. This Privacy Policy details the types of information we collect, how we use it, and your rights regarding your data.
1. Information We Collect
- Personal Profile Data: When registering as a member, signing up to volunteer, or submitting inquiry forms, we collect personally identifiable data. This includes your first and last name, email address, phone number, and physical/mailing address.
- Event and Registration Data: When you purchase tickets or register for an event (including registrations processed via Zeffy or PayPal integration), we sync and store registration metadata, including guest names, ticket tiers, transaction IDs, and specific responses to custom questions (such as T-shirt sizes, dietary needs, or performance details).
- Payment History: We maintain a ledger of transactions (date, amount, plan/event category, and transaction ID) for membership signups and ticket sales. Important: We do not store or process credit card numbers or raw billing details on our servers. All payments are processed securely by external, PCI-compliant payment gateways (Zeffy, PayPal, etc.).
- Usage Data & Cookies: We automatically track activity on our website, including IP addresses, browser types, referral sources, and page views. We use cookies to enhance user experience, such as remembering your login credentials and maintaining active sessions.
2. How We Use Your Data
We use the collected information to:
- Administer and manage your active membership status and directory profile.
- Validate event registrations, coordinate volunteer check-ins, and assign booth spaces.
- Send administrative updates, payment confirmations, and transaction receipts.
- Deliver periodic newsletters and event invitations (which you can opt out of at any time via the unsubscribe links).
- Monitor website traffic and improve our online services.
3. Data Sharing and Disclosure
IAM does not sell, lease, or rent your personal information to third parties. We share data only with trusted service providers to facilitate operations (such as mailing list managers and integrated payment processors), and only under strict confidentiality terms. We may disclose data when required to do so by law or in response to valid legal requests by public authorities in the United States.
4. Data Security
We implement appropriate technical and administrative security measures (such as SSL encryption and user permission layers) to protect your personal data from unauthorized access or alteration. However, please be aware that no transmission method over the internet is 100% secure.
5. Data Retention, Correction, and Deletion
We retain your personal profiles and transaction records only for as long as necessary for active memberships, historical archives, or legal compliance. You have the right to request access to, correction of, or deletion of your personal data. You can manage your information by logging into the “My Account” dashboard, or by contacting us directly. If a member’s WordPress user account or event signup is deleted, we automatically clean up corresponding local records in our database.
6. Children’s Privacy
We do not knowingly collect personal data from children under the age of 13 without verifiable parental consent. If a program (such as IndiaFest performances) involves children, all registration data must be entered and submitted by a parent or legal guardian.
